How Many LED Wristbands Does Your Event Need?
Guest count, spare ratio and distribution speed — the three variables of quantity planning.

Starting point: expected attendance
Quantity planning starts from the number of people who will actually be in the venue, not the invite list. At weddings roughly 85-90% of the list attends; at ticketed concerts the ticket count is the basis; at open, free events the estimate needs a wider band.
You do not have to band everyone. At many events only the dance floor, only certain stand blocks or only the VIP area gets wristbands. It is the fastest way to bring the budget down and usually does not weaken the visual effect.
Spare ratio
Every operation carries spares. In practice a 3-5% spare ratio covers losses during distribution, faulty units and unexpected extra attendance.
On multi-day events the spare ratio is kept higher, because you need a pool to replace the bands entering the charging rotation on day two and three.
Distribution speed and the gate plan
As quantity grows, the bottleneck stops being the wristband and becomes distribution. At a 5,000-person event, handing out from a single point creates queues; instead the bands are boxed per entry gate with a dedicated team at each.
How many people pass through each gate, and over how long, determines how many boxes and staff are needed. That plan is drawn up together at the quote stage.
Coverage calculation
The second question, as important as quantity: can one transmitter cover the whole area? A single transmitter spans 600-700 metres outdoors. If the area is larger, or there are obstacles such as concrete walls, under-stand structures or separate halls, extra transmitters are positioned.
Long, narrow areas — a waterfront strip, a corridor-shaped festival ground — almost always require a multi-transmitter setup.
Balance the budget with scope, not just quantity
Cutting quantity is not the only saving. Simplifying the control type (standard RF instead of DMX), reducing the number of zones or choosing unprinted straps also lowers cost noticeably.
